By accessing or using the PraxiLog application, website, and related software services (collectively, the "Service"), operated by PraxiLog (Pty) Ltd (Registration No. 2026/581918/07), you agree to be bound by these Terms of Service. If you are entering into these Terms on behalf of a healthcare practice or legal entity, you represent that you have the authority to bind that entity. If you do not agree to these Terms, you may not access or use the Service.
PraxiLog is designed exclusively for registered healthcare practices and practitioners in South Africa.
Account management & security: a Practice may add team members under specific access roles (such as Owner, Admin, Practitioner, or Receptionist). The Practice is responsible for assigning roles appropriately, enforcing individual user accounts, prohibiting credential sharing, and revoking access immediately when a team member leaves. The Practice is fully responsible for all activity occurring under its user accounts.
Important clinical disclaimer: PraxiLog is a software management tool, not a healthcare provider, medical device, or diagnostic system. Practices and individual practitioners remain solely responsible for all clinical decisions, medical diagnoses, treatment plans, prescribing choices, tariff billing accuracy, and statutory record-keeping obligations under the rules of the Health Professions Council of South Africa (HPCSA) or other relevant regulatory bodies.
New Practices may start a one-time, 30-day free trial of the Service, with no payment card required. If payment details are added before the trial ends, the first recurring subscription charge will occur only after the 30-day trial period expires. If no payment details are added by the end of the trial, access to the Service will be suspended until a subscription is activated. Each Practice is entitled to one free trial.
PraxiLog offers recurring subscription plans billed monthly per Practice. Current plan features and pricing are published on our website at praxilog.co.za.
Payments: payments are processed securely via PayFast as a recurring monthly subscription. PraxiLog does not hold or store credit or debit card details.
Cancellation: you may cancel your subscription at any time through your account settings or by contacting us. Your subscription will remain active until the end of your current paid billing period, after which it will not renew.
Price changes: we reserve the right to adjust subscription pricing or plan features. We will provide Practices with reasonable advance notice (at least 30 days) of any material price increases.
Where enabled by your subscription plan and practice settings, PraxiLog provides artificial intelligence features (powered by Google Gemini) to assist in drafting clinical notes, consultation summaries, and medical correspondence from practitioner-entered text or recorded consultation audio.
Non-diagnostic tool: the AI feature is an administrative drafting assistant. It is designed to format and structure clinical information provided by the practitioner, not to generate independent medical advice, offer automated diagnoses, or invent clinical facts.
Informed consent required: before enabling audio recording during a consultation, the Practice is solely responsible for obtaining the patient's informed verbal or written consent in accordance with HPCSA guidelines and POPIA.
Practitioner review required: AI models can make errors or misinterpret spoken language. The practitioner retains sole clinical judgment and is strictly required to review, verify, edit, and approve every AI-assisted draft before saving it to the patient's permanent record. PraxiLog accepts no liability for clinical errors, omissions, or inaccurate notes arising from unreviewed or unedited AI drafts.
Your data: Practices retain full ownership of all patient, clinical, billing, and practice data uploaded or entered into PraxiLog. PraxiLog processes this data strictly as an Operator on the Practice's behalf, as detailed in our Privacy Policy.
Our intellectual property: PraxiLog and its licensors retain all rights, title, and interest in and to the Service, including all software, code, user interface designs, logos, trademarks, and documentation. You may not reverse engineer, copy, modify, or create derivative works based on the Service.
Suspension: if a free trial ends without a subscription, or if a recurring payment fails or is cancelled, access to the Service will be suspended.
Data retrieval grace period: suspension or account cancellation does not immediately delete your practice data. We will retain your data for a minimum grace period of 30 days following suspension or cancellation, during which you may contact us at hello@praxilog.co.za to arrange a full data export. Following the expiration of this window, data will be archived or disposed of in accordance with the retention schedules set out in our Privacy Policy.
Termination for cause: we reserve the right to suspend or terminate access immediately if a Practice breaches these Terms, misuses the Service, or uses the Service for fraudulent or illegal activity.
We strive for high platform availability but do not guarantee that the Service will be uninterrupted, completely error-free, or compatible with all hardware and network setups. Features may evolve as the product develops. While signed in, PraxiLog's local device caching is designed to allow core record-keeping features to continue operating during brief connectivity drops or load-shedding, syncing changes back once connectivity is restored.
To the maximum extent permitted by applicable South African law (including the Consumer Protection Act 68 of 2008):
We may update these Terms from time to time as PraxiLog evolves. Material changes will be communicated to Practices via email or through an in-app notice at least 30 days before taking effect. Your continued use of the Service after the effective date of any changes constitutes your acceptance of the revised Terms.
These Terms are governed by and construed in accordance with the laws of the Republic of South Africa. Any disputes arising out of or in connection with these Terms shall be subject to the jurisdiction of the South African courts.
